CNC Machine Tool Repair and Service: How to Choose a Partner

This guide is for maintenance engineers and sourcing managers who need cnc machine tool repair and service without losing weeks of production. It covers what a repair scope should contain, which machine faults are worth fixing, and the paperwork you should ask for before you release a purchase order.

What a repair scope should contain

A repair quote should start with numbers, not adjectives. Ask for the measured value, the tolerance it violates, and the method used to measure it. If a supplier cannot tell you which axis drifts and by how much, they are selling labor by the hour, not a fix.

The second item is the acceptance test. For a spindle, that usually means taper runout and a test cut. For a linear axis, it means positioning accuracy and repeatability across the full travel. Write the test into the purchase order so the machine is not released until it passes.

Third, list the consumables and the parts that will be replaced. Bearings, seals, way covers, and lubrication lines are cheap compared to a second teardown. A scope that names them avoids the argument about who pays when the same fault returns in three months.

Finally, ask for the geometry record before and after. A shop that measures squareness, parallelism, and level at the start has a baseline. Without that baseline, nobody can prove the repair improved anything.

Where the money goes

Which faults justify the repair cost

Spindle and ball screw work carries the highest cost, and it is where the decision matters most. If taper runout is under 0.005 mm and the surface finish still meets the drawing, leave it alone. Regrinding a healthy spindle shortens its life and buys nothing.

Axis drift is different. When a single axis loses repeatability, the cause is usually a worn screw, a loose thrust bearing, or a contaminated scale. All three are repairable, and the repair is normally cheaper than scrapping a machine that is otherwise sound.

Control faults sit in the middle. Board-level failures on an older control can be repaired or swapped from donor stock, but once spares stop being available, every extra year of service increases the risk of an unplanned stop. Set a date for replacement and hold to it.

Crash damage needs measurement before any commitment. If the column or saddle is bent beyond the geometric tolerance, rework becomes a rebuild, and a rebuild only makes sense when the machine still has years of useful life left in its structure.

Supplier screening

How to screen a cnc machine tool repair and service supplier

Start with the machine list. A supplier who runs production on five-axis, four-axis, and mill-turn centers sees the same failure modes you do, and they can test a repaired component on real work. GreatLight runs 127 high-precision CNC machines across three plants, including 16 simultaneous 5-axis machining centers and a Ø400 mm rotary table.

Next, ask how the repaired machine will be validated. The answer should include a tolerance, an instrument, and a report. Our shop holds ±0.005 mm on production parts and inspects 100% before shipment, with raw material checks, in-process monitoring, and final inspection reports available on request. The same discipline applies to repair acceptance.

Then look at the certification set. If the repaired machine makes automotive parts, IATF 16949:2016 is the relevant standard. For medical work it is ISO 13485:2016. ISO 9001:2015 covers general quality management, and ISO 27001:2022 matters when drawings and programs leave your site.

Last, check the commercial terms. A supplier who will quote one replacement component without a minimum order quantity is usually a supplier who also repairs machines rather than only selling new ones. That flexibility matters when you need a single ball screw nut, not a fleet contract.

When to machine a replacement part instead of buying one

Some repair parts are obsolete. The original bracket, spacer, or clamp is out of production, and the lead time from the machine builder is measured in months. This is where in-house machining beats a parts order.

GreatLight machines replacement components from 6061-T6, 7075, 304, 316L, 17-4PH, 4140, and Ti-6Al-4V, among others. A worn clamp or a cracked cover can be reverse engineered, machined to drawing, and finished to match the original surface condition.

Surface finishing matters more than most people expect. Anodizing, electroless nickel, black oxide, and bead blasting are all available, and the finish affects wear life on sliding parts. If the original part was hardcoat anodized, replacing it with a bare aluminium part shortens the service interval.

Tolerance should be chosen from the function, not from habit. A mounting bracket rarely needs ±0.005 mm. A spindle spacer does. Over-specifying a repair part adds cost and lead time without improving the machine.

Procedure

Step by step: qualifying a repair supplier

Run these steps in order. Each one can stop the process before money is committed.

  • 1
Collect the fault dataRecord the measured error, the axis or spindle involved, and the operating hours. Photograph the alarm history. A supplier cannot quote without this.
  • 2
Request a written scopeAsk for the fault list, the replacement parts, the acceptance test, and the geometry record. Reject quotes that only list labor hours.
  • 3
Check the acceptance toleranceConfirm the tolerance the machine must hold after repair, for example ±0.005 mm on a critical axis or Ra 0.8-1.6 μm on a test cut surface.
  • 4
Verify the certification fitMatch the standard to the end product. Automotive parts need IATF 16949:2016; medical parts need ISO 13485:2016; general work needs ISO 9001:2015.
  • 5
Confirm the order sizeAsk whether a single replacement component can be quoted. No minimum order quantity keeps a small repair economically viable.
  • 6
Agree the handover testWrite the test cut, the instrument, and the acceptance value into the purchase order before work starts.
  • 7
Review the reportCompare before and after geometry. If the numbers did not move, the fault was misdiagnosed.
FAQs

Questions engineers ask before booking a repair

How long should a spindle repair take?

It depends on whether the spindle is ground in place or removed and re-certified. Removal adds transport and re-fitting time.

Ask for the sequence in writing: removal, inspection, bearing replacement, taper grind, balance, and test cut. Each stage has its own duration.

Can you repair a machine and machine the replacement parts?

Yes. GreatLight machines components from aluminium, stainless, steel, titanium, and engineering plastics, and offers anodizing, plating, black oxide, and bead blasting.

That means a worn clamp, spacer, or cover can be made to drawing instead of waiting months for an obsolete part.

What tolerance should I ask for after repair?

Set the acceptance value from the part the machine produces, not from a generic number. For many production parts, ±0.005 mm is achievable and sufficient.

If the drawing is looser, a looser acceptance test shortens the repair and reduces cost.

Do you work from an NDA?

Yes. Uploads are secure and confidential, and an NDA is available on request.

That covers drawings, programs, and any process data shared during the repair.

What if the machine is beyond economic repair?

We say so and give the measurement that supports the conclusion.

The decision then becomes replacement or rework, and the geometry record gives you the evidence to justify it internally.

How fast can a repair be quoted?

Quotation with free DFM analysis comes back within 12 hours once the fault data is complete.

Incomplete fault data is the main cause of slow quotes, so send measurements and photos with the first message.
